Data Retention and Retrieval process

After an employee leaves the company, their mailbox and personal storage drives (OneDrive/personal network storage) will be preserved in a non-active state for a period of 6 months following the date of termination. After this 6-month period, all data will be permanently deleted, without retaining any copies or backups.


Special data retention for specific roles

To comply with financial, tax, and legal data retention requirements, specific functions' mailboxes are preserved for an extended period of 8 years. The following roles fall under this category:


  • CEO
  • CFO
  • Statutory directors of group companies
  • Finance
  • HR
  • Legal & Compliance


Requesting Access to Former Employee Data

To request access to a former employee's data, please follow the steps below:

  1. Submit a formal request to the help desk.
  2. The request will be reviewed by the head office legal department to ensure compliance with all relevant local privacy laws.
  3. Once your request is approved, a help desk representative will promptly contact you to provide further details.
